Shape each submissions table around the job

Each form also has a spreadsheet-like submissions table. Built-in response details sit beside question columns, while complex matrices and dynamic panels expand into useful sub-columns instead of being hidden in a single opaque value.

  • Reorder, resize, pin, or hide columns and apply type-aware sorting and filters.
  • Save the current layout as a reusable view, and set one view as the form default for the team.
  • Show average, sum, minimum, or maximum footers for supported numeric and expression columns.

Ask focused questions about aggregate results

The AI Assistant can help calculate and group submitted response data when a team needs an answer rather than another export. It inspects the form schema and reads only the submission fields needed for the requested calculation, with the goal of returning aggregate results rather than raw respondent records.

  • Ask for percentages, common choices, grouped counts, or average scores over a named period.
  • Keep requests specific by naming the form, questions, calculation, or grouping you need.
  • AI analysis is subject to the daily and monthly usage allowances of the active plan.

Export records without rebuilding the view

Exports follow the response workflow your team already configured. Filtered table data can move into another reporting tool, while formatted PDFs preserve the submitted form and can include workflow approvals, quiz results, and an optional UTC activity timeline.

  • Export visible columns in their current order as CSV or spreadsheet-friendly TSV.
  • Download one submitted response as a PDF or bundle selected submitted responses into a zip of PDFs.
  • View in-progress saves in the table; editing and PDF export become available after the response is submitted.

Yes. The global Responses page can search across forms by form title, respondent email, or submission number, then filter by response, workflow, approval, assignment, and date details.

Can teams save different submissions table views?

Yes. A saved view can keep column order, widths, pinned and hidden columns, sorting, filters, and supported footer calculations. One view can be set as the form default for everyone.

What can the AI Assistant do with responses?

It can answer focused aggregate questions such as percentages, grouped counts, common choices, and average scores. It is designed to return aggregate results rather than raw respondent records, and usage is limited by the active plan's daily and monthly allowances.

Which response export formats does Formspace support?

Filtered table data can be exported as CSV or spreadsheet-friendly TSV. Submitted responses can also be downloaded as individual PDFs, and selected submitted responses can be generated together as a zip of PDFs.

How are in-progress responses handled?

Saved progress appears with an In progress status and can be viewed and filtered by form editors. It has no submission number, does not count toward monthly response limits, and remains view-only without PDF export until submitted.
